Last day to digitize employment record books: what happens if you miss the deadline?

Ukrainians who started working before January 1, 2004, have until June 10 to digitize their paper employment record books.

What happens if you don't do it by June 10?

  • Your insurance and employment record will not be lost.
  • Your eligibility for a future pension will not be affected.
  • The Pension Fund of Ukraine portal will continue accepting scanned copies of employment record books after June 10, 2026.
  • You will still be able to submit documents for digitization later.

How to digitize your employment record book

Employees or employers can:

  1. Scan all relevant pages of the paper employment record book.
  2. Upload the scans through the Pension Fund's online portal.

How to check whether your record book has already been digitized

After logging into your account on the Pension Fund portal:

  • Open "Electronic Employment Record Book".
  • Check "Scanned Copies of Employment Record Book" to see uploaded documents.
  • Check "Digitized Employment Record Book" to view processed records.

If your employment record book was lost

Work history can also be confirmed through:

  • employment contracts;
  • payroll records;
  • employer certificates;
  • extracts from employment orders.

If the employer is located in an occupied territory or an active combat zone, employment history may be confirmed by two former co-workers who possess documents proving they worked at the same company.

Bottom line: Missing the June 10 deadline does not result in the loss of employment history or pension rights. The digitization process will remain available after the deadline.
